New to AI Interviews? Start with the AI Interviews — Overview to understand how the feature works before diving into best practices.
AI Interviews typically achieve 40–60% response rates. This guide covers how to reach the upper end of that range, get more value from your results, and build a repeatable interview program over time. Adoption journey: First Campaign (Enabled) → Scaling Up (Adopted) → Always On (Embedded)

1. Launching your first campaign

Your first AI Interview campaign sets the foundation. Here’s how to make it count. Pre-launch checklist
  • Define your campaign goal — win/loss analysis, product feedback, general VoC, or another topic scope
  • Identify your target audience (50+ contacts recommended for meaningful results)
  • Brief your internal team on what insights to expect and how they’ll be used
Choosing your topic scope Pick the topic scope that matches your goal. Each scope shapes how the AI frames its questions and follow-ups. See the full list of available scopes in the AI Interviews — Overview.

2. Maximizing response rates

Before launch
  • Send a heads-up from the customer’s main point of contact — CSM or account owner — before the interview invitation goes out
  • Frame the interview as “your voice shapes our roadmap,” not “we need data”
  • Time your launch on Tuesday–Thursday mornings, which consistently produce the best response rates
During collection
  • Send at least 3–4 reminder emails spaced throughout your response window
  • Have the CSM or AE personally follow up with high-value accounts that haven’t responded
  • Monitor response rates daily in the campaign dashboard
Response rate benchmarks
Customers who respond to their first AI Interview are 3x more likely to respond to future ones. Focus on making the first experience easy and fast.

3. Analyzing and sharing results

What the AI can surface from your data
  • Theme extraction — key topics and patterns across all responses
  • Sentiment analysis — positive, negative, and neutral signals per question
  • Key quote extraction — standout customer statements ready for sharing
  • Response summaries — digestible overviews per question and overall
Delivering insights to stakeholders
Share results within 1 week of campaign close. Timeliness increases perceived value and stakeholder engagement in future campaigns.

4. Scaling to multiple campaigns

Once your first campaign succeeds, here’s how to build a repeatable program. Recommended campaign cadence Scaling checklist
  • Build audience segments in Deeto for easy targeting, or set up CRM triggers
  • Establish a recurring calendar reminder for campaign launches
  • Create a results-sharing workflow — who gets insights, when, and in what format
  • Track credit consumption to plan your annual budget (5 credits per question)
Avoid interviewing the same customers too frequently. Space campaigns targeting the same audience at least 60 days apart.

5. Measuring success

Track the decisions that were influenced by interview data. This is the strongest proof of value during renewal conversations.

6. Troubleshooting

Improve the outreach messaging, increase rewards, and have CSMs send personal follow-ups to key accounts. Review question length — shorter campaigns (5–7 questions) consistently outperform longer ones.
Deliver insights in their preferred format. Executives want a 1-pager with key quotes; Product teams want a ranked list. Lead with the finding, not the methodology.
Each AI Interview question consumes 5 credits. For a 10-question campaign with 50 respondents, budget 2,500 credits. Talk to your Customer Success Manager about credit allocation.
Start with the templates available in Campaigns Hub. Your CSM can help customize question sets for specific topic scopes and use cases.
